Coupa
Role(s)
Position: Senior Associate Knowledge Systems Manager
How does this role connect to the path that led me to the OEI?
This role brings together several threads running through my previous work: documentation architecture, operational systems, knowledge governance, and AI-ready content.
I will be responsible for helping Coupa maintain a reliable organizational knowledge base that people can trust, navigate, and use without unnecessary friction. The work applies the same principle behind the Operational Entropy Index: when information becomes fragmented, ambiguous, redundant, or obsolete, people must compensate for the system around it.
My role will be to identify that friction and improve the infrastructure through which knowledge moves.

Projects
Knowledge Governance and Quality
- Description: Establish and maintain quality standards across the knowledge lifecycle, including publishing, migration, archiving, deletion, and ongoing content hygiene.
- My role: Define what authoritative, usable, maintainable, and AI-ready knowledge looks like, and help ensure those standards are applied consistently.
- Intended outcome: A more trustworthy knowledge system that serves both human readers and AI-assisted retrieval.
Documentation Standards
- Description: Create and enforce documentation standards covering structure, clarity, source quality, ambiguity, and machine legibility.
- My role: Translate documentation principles into practical standards that content creators and subject-matter experts can use.
- Intended outcome: Documentation that is easier to create, maintain, find, understand, and reuse.
Knowledge Base Curation
- Description: Identify redundant, conflicting, obsolete, and unnecessary content across the organization’s knowledge base.
- My role: Determine what should be consolidated, corrected, archived, or removed.
- Intended outcome: A smaller, clearer, and more dependable body of organizational knowledge.
Growth
This role will allow me to apply what I have learned from building and rebuilding documentation systems at a larger organizational scale.
It will also deepen my understanding of knowledge governance in an AI-first environment, where documentation must be usable not only by people but also by retrieval systems and other AI tools.
Team
I will work across teams, partnering with subject-matter experts, content creators, and other stakeholders responsible for producing or using organizational knowledge.
An important part of the role will be improving how knowledge moves between these groups, from initial intake and requirements gathering through publication and long-term maintenance.
Challenges
The central challenge will be distinguishing useful organizational knowledge from the accumulation surrounding it.
Redundant sources, conflicting guidance, outdated material, ambiguous ownership, and inconsistent documentation practices can make even large knowledge bases difficult to trust. Addressing those problems will require both careful analysis and cross-functional cooperation.
Type of Work
Remote
Intended Impact on Company
My goal is to help make Coupa’s operational knowledge discoverable, authoritative, and fit for purpose.
That means creating systems in which people can find reliable answers with less effort, content owners understand what is expected of them, and AI tools retrieve information that is structured, current, and trustworthy.
What I Expect to Learn
I expect this role to deepen my understanding of:
- Knowledge governance across the full content lifecycle
- Documentation standards for human and AI consumption
- Enterprise-scale content quality and maintenance
- AI and retrieval-augmented generation requirements
- Cross-functional knowledge intake and ownership
- Institutional memory as operational infrastructure
